This Privacy Policy describes how the Yardmaster application, related services, and the YES Automated Puller browser extension (“we”, “us”, or “our”) collect, use, and protect information. We are committed to safeguarding operational confidentiality and protecting user privacy.

1. Purpose & Operational Scope

Yardmaster is a specialized operational scheduling and yard management tool built for authorized terminal personnel, yardmasters, crew members, and their approved operational families. It is not intended for the general public. Access to user accounts is strictly controlled through administrative verification and approval.

2. YES Automated Puller Extension

The YES Automated Puller extension is a specialized companion tool designed for authorized terminal yardmasters to streamline operational workflows.

• Single Purpose: The extension automates repetitive data retrieval from internal YES (Yard Enterprise System) inquiry pages (such as train builds, yard inventory, and dwell reports) and transfers that operational data directly into the authorized Yardmaster dashboard.
• Permissions & Scope:
  • activeTab & terminal inquiry domains: The extension only accesses inquiry web pages when the user actively triggers an automated pull. It reads the rendered tabular car and train data on screen.
  • scripting: Used solely to fill form filters (such as hours or inquiry types) and scrape the resulting data table upon user request.
  • tabs: Used to navigate or focus the active inquiry tab during the automated pull.
  • storage: Used strictly to save local extension settings and preferences.
• No Data Selling or Advertising: The extension does not collect personal browsing history, does not inject advertisements, does not track users across websites, and does not sell or share any operational data with third parties or data brokers.

3. Information We Collect and Process

In providing the Yardmaster service, we process only the operational information necessary to manage shifts, schedules, and yard efficiency:

• Account Information: Name, work email address, role, and terminal assignment provided during registration.
• Operational Data: Crew call boards, shift rosters, rest hours, time-off requests, and yard train/inventory consists submitted or pulled by authorized users.
• AI-Assisted Schedule Processing: When users upload shift schedule images or paper rosters, image data is processed using Google Cloud AI / Gemini models to extract names and work assignments. This processing is performed securely via encrypted APIs, and uploaded operational data is not used to train public machine learning models.

4. Data Storage & Security

All data is transmitted using modern industry-standard TLS encryption in transit and stored securely on Google Cloud / Firebase infrastructure. Access to operational records is restricted to authenticated, administrator-approved personnel assigned to the relevant terminal.

5. No Sale or Commercial Exploitation of Data

We strictly never sell, rent, monetize, or trade any user information, railroad operational data, or car/train inventory with any third parties, marketing firms, or commercial advertisers.

6. Family & Minor Dependents Access

Yardmaster includes a Family Hub feature designed to allow railroad families and minor dependents (such as an employee’s children) to view their family member’s work schedule, shift turns, and rest periods. We do not knowingly collect personal information directly from children under 13 without parental or guardian consent. All family member access is managed and authorized under the supervision of the primary employee account holder.

7. Data Retention & Account Deletion

Operational logs and user data are retained only as long as necessary to support yard scheduling and operational review. Authorized users or administrators may request deletion of their account and associated data at any time by contacting the administrator.

8. Updates to This Policy

We may update this Privacy Policy periodically to reflect enhancements to operational features or compliance requirements. The “Last updated” date at the top of this document will reflect the date of the most recent revision.
